Overview

The Financial Assistant will now have dual reporting lines to both the General Manager and the Financial Controller. All employment decisions related to the Financial Assistant, including hiring, performance reviews, and termination, will be made collaboratively by the General Manager and the Financial Controller. The General Manager will continue to serve as the primary operational point of contact, while the reporting line to Corporate will provide the Financial Assistant with a degree of independence in upholding company policies within the Café.

The Financial Assistant will perform specific, required duties in the Café related to Accounting, Payroll, Audit and Administration under a standardized format. Additionally, the Financial Assistant will have day-to-day oversight responsibilities for financial and administrative controls at the Café, which include managing controls related to Cash, Accounts Receivable, Accounts Payable, Reconciliations, Inventory, and Human Capital.

Responsibilities

Maintain and enforce Accounting, Financial, Human Resources, and administrative controls at the Café in accordance with Company policy.

 

  • Data entry and record keeping: Enter financial data into systems, update financial records, and maintain accurate financial files.

 

  • Accounts Payable and Receivable: Process invoices, payments, and receipts; manage vendor bills and customer accounts. Timely and accurate entry of invoices into Infinium and Cbord, ensuring that proper approvals are documented in accordance with Company policy.

 

  • Bank Reconciliation: Reconcile bank statements and ensure all transactions are accounted for correctly.

 

  • Reporting: Support preparation of monthly reporting and financial statements. Prepare ad hoc reports for management. Completing or reviewing the house accounts (client ledger) reconciliation monthly and notifying the GM of any at risk receivable.

 

  • Budgeting Support: Assist with budget preparation and track expenses against the budget. 

 

  • Hiring Process: Ensuring that the hiring process for employees is executed and documented in line with Company policy. Timely and accurate entry of new hires into Infinium, confirming that the necessary approvals are present per Company policy.

 

  • Promptly reporting employee relations issues, public liability and workers' compensation matters, and other potential liabilities to the General Manager and the appropriate corporate contact, in compliance with Company policy.

 

  • Audit Program: Regularly performing steps from the Company audit program (e.g., observing Café safe counts, testing inventory) and reporting any exceptions to the General Manager for corrective action to ensure compliance with Company policy.

 

  • Acting as a liaison with controller and external auditors during audit visits and working with GM and controller to ensure corrective post audit actions are taken and all identified items to maintain compliance with applicable policies.

Qualifications

EXPERIENCE, EDUCATION, AND CERTIFICATIONS

  • Minimum 2 years bookkeeping experience or equivalent.
  • Working knowledge of Microsoft Excel and Word.

  • Multiple language abilities a plus, fluency in English required

Additional Details

Relevant experience in bookkeeping experience or equivalent.

Knowledge of Microsoft Excel and Word.

Fluency in English and Greek is required
